The Opportunity: Information & Application Analyst (SharePoint Administrator) 

Waterfront Toronto is seeking an Information & Application Analyst (SharePoint Administrator) to serve as the primary support for Waterfront Toronto’s SharePoint environment as an Enterprise Content Management (ECM) platform. This role also supports additional Microsoft 365 technologies such as PowerBI, Power Apps, Power Automate, and Copilot. The Information & Application Analyst will be responsible for administering Waterfront Toronto’s data governance, compliance, and security strategies.   

Key Responsibilities: 

SharePoint & Microsoft 365 Administration 

  • Provide first- and second-level support for SharePoint Online and Microsoft Teams. 
  • Manage SharePoint sites, including site collections, document libraries, permissions, and user access (internal and external). 
  • Administer records, file, and blob management, data classification, metadata, sensitivity, and retention labels. 
  • Monitor and manage data storage and site backups. 
  • Maintain and support Teams as a collaboration platform, including configuration and backup of data and settings. 

Data Governance & Compliance 

  • Enforce information architecture and governance policies to ensure consistency and prevent data sprawl and duplication. 
  • Review and approve new SharePoint site requests or recommend use of existing sites. 
  • Implement and monitor record retention policies; ensure appropriate tagging and timely aging out of records. 
  • Apply and maintain data loss prevention (DLP) policies across the M365 environment. 

Copilot & Microsoft Power Platform 

  • Manage and maintain the Microsoft Copilot environment, including creation of agents and bots. 
  • Identify and implement workflow improvements using Power Automate, Power Apps, Power BI, PowerShell, and related tools. 

Projects, Training & Support 

  • Lead or participate in SharePoint, Microsoft Teams, and other M365-related initiatives. 
  • Maintain internal intranet and ECM-related sites. 
  • Develop and deliver training to staff on ECM tools, data governance, and best practices. 
  • Liaise with external service providers to support technology implementation and issue resolution. 
  • Act as backup to the Senior Application Analyst when needed. 

Skills & Qualifications: 

  • 5+ years of experience administering SharePoint environments, with expertise in user management, record management, and information security. 
  • 3+ years of experience working with the Microsoft Power Platform (Power BI, Power Apps, Power Automate). 
  • 3+ years of experience with enterprise data governance, compliance, and retention frameworks. 
  • A university degree or college diploma in Information Technology, Information Management, Computer Science, or a related field, or an equivalent combination of education and experience 
  • Strong technical knowledge of:  
  • SharePoint Online, including metadata, data labeling, and content lifecycle. 
  • Microsoft Teams, including file collaboration and group management. 
  • Microsoft Purview and Defender (Security), with a focus on sensitivity labels, DLP, and compliance. 
  • PowerShell scripting for automation and administration tasks. 
  • Data security, governance, and compliance practices. 
  • Familiarity with Dynamics 365 (Finance & Supply Chain, Customer Service, Marketing) is an asset. 
  • Excellent communication and presentation skills, with the ability to translate technical topics for non-technical audiences. 
  • Strong research, analytical, and problem-solving skills. 
  • Proven ability to work independently and collaboratively within cross-functional teams. 
  • Certifications in enterprise governance (e.g., COBIT, ITIL) and/or information security (e.g., CISSP, CISA, CompTIA Security+) are considered strong assets.

Other Considerations: 

During this time, Waterfront Toronto is operating in a hybrid work environment. Employees are currently required to work in our office three days per week and have the option to work remotely for the remainder of the week. This is subject to change by the Corporation.
