Modern Niagara is seeking an IT Executive Coordinator to join our Ottawa (preferred) or Vaughan IT Team.

The IT Executive Coordinator will work closely with the IT Leadership team to provide essential support in project coordination, administrative functions, and daily operations. This role is ideal for a highly organized, detail-oriented, and proactive professional who thrives in a fast-paced environment and can wear multiple hats. The ideal candidate will have a solid background in IT, project management, and executive support, with the ability to translate objectives into actionable plans.

Duties and Responsibilities:

  • Operational Support:
      • Assist the IT Leadership team in the development and implementation of plans and initiatives. Organize and prioritize critical issues, gather required information, and provide analytical support to facilitate efficient decision-making.
      • Manage information flow in a timely and accurate manner.
      • Support daily operations by preparing meeting materials, maintaining departmental files, and assisting with ad-hoc tasks and initiatives as needed.
    • Project Support:
        • Assist with the organization, tracking and reporting of IT projects, including scheduling meetings, creating project documentation, and updating project management tools.
        • Liaise with internal and external stakeholders on project-related matters.
      • Communication Support:
          • Act as a liaison between the IT Leadership team and the broader organization.
          • Prepare, review, and distribute emails, reports, and presentations for internal and external stakeholders in collaboration with the Brand and Communications team.
        • Team Collaboration:
            • Work closely with the IT Leadership team to support a collaborative environment that fosters team development and engagement.
            • Coordinate with various teams to plan and facilitate internal events, ranging from workshops and training sessions to departmental meetings and team events.
            • Develop and maintain relationships with key partners, stakeholders, and external vendors and service providers.
          • Administrative Support:
              • Manage calendars, emails, schedule meetings, and coordinate travel arrangements for the IT Leadership team.
              • Handle confidential information with discretion and integrity.

            Qualifications and Job Requirements:

            • Extensive experience in operational and administrative support at an executive level, including project management.
            • Exceptional organizational and time management skills to multitask and prioritize effectively.
            • Understanding fundamentals of technology and IT environment.
            • Advanced skills in Microsoft Office Suite and skilled in project management tools (e.g. Asana, Microsoft Planner, Trello etc.).
            • Excellent verbal and written communication skills.
            • Exceptional interpersonal skills and strong business acumen.
            • High degree of professionalism and confidentiality with the ability to manage sensitive information with discretion.
