The Admissions & Enrolment Management team is seeking a highly organized, collaborative, and detail-oriented Coordinator. As a central pillar of our data integrity, this role ensures that all information regarding prospective families, current students, and alumnae is accurate, complete, and actionable. While situated within the Admissions & Enrolment team, this position works closely with multiple teams across the School to provide essential data support to the entire school community.
Initially, your focus will be on the "ground floor" of data management—auditing records, ensuring information accuracy, and closing data gaps. As you master our systems, this role will evolve to include high-level data analysis, where you will support translating admissions survey results into actionable steps for the School.
As a newly created position, the scope of this role is expected to evolve, especially during its first few years as we establish key workflows and respond to the team's needs. In your first year, success will be defined by completing a full audit of the 2026/27 student applicant pool and standardizing household data for all current families.
On a day-to-day basis, you will report to the Director, Admissions & Enrolment, but for school-wide projects, you will report to the Deputy Head. This role is fully in-person at our Kerrisdale campus and may involve occasional evening or weekend hours to support school operations; these commitments are typically scheduled well in advance to allow for proper notice.
Key Responsibilities
Data Integrity & Quality Control

Data Integrity & Auditing: Conduct regular audits of parent and student records to ensure all demographic data and household relationships are accurate, standardized, and up to date.

Admissions Pipeline Oversight: Identify and resolve missing information in the enrollment system (OnBoard) to ensure no applicants are lost and that data integrates seamlessly with the School’s Student Information System (MySchool).

Database Maintenance & Reporting: Maintain "clean" data within the CRM by eliminating duplicates and overseeing all entry, tracking, and reporting to support departmental needs.

Tracking of all incoming inquiries, campus visits, applications, and enrolment forms

Collaborate with the Data & Systems Analyst to facilitate smooth data sharing and synchronization across platforms

Track and audit Return to School Questionnaires, proactively contacting parents/guardians to resolve incomplete or missing student information

Collaborate on cross-functional school initiatives and special projects as they arise
Data Analysis (Ongoing & Future)

Survey Analytics: Lead the processing and analysis of annual parent, student, and alumni surveys to identify trends (report to the Deputy Head)

Enrolment Reporting: Assist in the creation of weekly and seasonal reports that track application volume, yield rates, and attrition

Data Visualization: Help the School "tell the story" of our data through clear charts and summaries that inform leadership decisions

Provide front-desk support, acting as a friendly first point of contact for guests entering the Admissions Office as needed

Privacy & Compliance: Ensure all data handling and storage practices align with the School’s privacy policies and provincial PIPA (Personal Information Protection Act) regulations

Support admissions recruitment events, student assessments (including SSAT), and onboarding events, etc.
Qualifications & Skills

1 - 3 years of experience in a related role.

Previous experience in a K-12 independent school environment is an asset

Data Fluency: You are comfortable working with large datasets and have a strong command of Excel (vlookups, pivot tables, etc.). Experience with school-specific CRMs (e.g., Blackbaud, Veracross, or Salesforce) is a significant asset.

Employment and Application Details:
Start date: August 2026
Working hours: Campus-based, Monday-Friday, 8:00 a.m.–4:30 p.m. with a one-hour unpaid lunch break.

Compensation: Annual salary $60,000 - $68,000 based on experience.
