Data Administrator, Sales & Order Entry Position Summary The Sales Business Data Specialist is the recommended initial unified Sales domain role responsible for three integrated capabilities: Sales data stewardship, controlled Sales domain data administration, and reporting and analytics liaison. The role supports Sales Basic Data, Master Data, and Operational / Transactional Data within and around IFS, including customer agreements, sales parts and catalogues, price lists, customer agreements, order-entry-related data, and the data definitions that support quoting, invoicing, and Sales reporting. The role should be positioned within the Sales domain, reporting to Director of Sales Technology, with dotted-line enablement from the D&A CoE for governance standards, data quality, reporting intake, validation evidence, and data load/promotion controls. Product Configuration / CTO-CPQ administration remains a specialized capability governed separately through Product Configuration / CTO-CPQ leadership. This role coordinates with Product Configuration / CTO-CPQ when configuration logic, model rules, or configurable pricing dependencies affect Sales data, but it does not own CTO/CPQ model governance. Pricing administration is in scope at go-live; if pricing rule volume, audit demands, or change frequency grow materially post-go-live, pricing accountability is designed to split cleanly into a dedicated Pricing Administrator role. Key Responsibilities Integrated Role Scope The initial Sales role should be treated as an integrated domain data role, combining three responsibilities at launch: Sales Data Stewardship: owns Sales data definitions, quality expectations, source-of-truth alignment, validation, and issue escalation. Sales Data Administration: prepares, maintains, validates, and controls approved Sales data changes, including Basic Data and Master Data required for IFS execution. Sales Reporting and Analytics Liaison: clarifies Sales reporting needs, KPIs, acceptance criteria, validation, and adoption; simple Power BI content may be created only within the governed self-service model. Tools used to accomplish these responsibilities will be IFS, Salesforce, PowerBI, ForgeRock, etc. Sales Master Data and Basic Data Administration Create, maintain, and govern customer records, customer hierarchies, addresses, and document defaults within IFS. Steward sales parts, sales part catalogs, characteristics, and cross-references exposed to the sales channel. Maintain rep, territory, and assignment data supporting quoting and commission accuracy. Ensure consistency of Sales data flowing between IFS and upstream platforms such as CRM, CPQ, and Price Select, treating IFS as the system of record where designated and documenting any source-of-truth exceptions. Reporting and Analytics Liaison Clarify Sales reporting and analytics needs, including the business question, decision to be supported, audience, frequency, required filters, KPIs, and acceptance criteria. Partner with D&A to align Sales metrics to approved definitions, source-of-truth decisions, governed semantic models, and reporting standards. Coordinate Sales business validation, UAT, sign-off, adoption feedback, and issue triage for Sales reports and dashboards. Pricing Administration Administer price lists, sales price groups, and flat multiplier structures, including effective dating and mass price actions. Maintain customer agreements and special pricing with full traceability. Enforce approval gates before pricing changes go live; pricing changes carry direct margin risk and are treated as controlled changes, not routine data entry. Coordinate with Product Configuration / CTO-CPQ and Finance on configuration-driven or model-based pricing rules where Sales data dependencies, margin impact, or customer commitments exist. Data Stewardship, Governance and Controls Maintain Sales data definitions, quality expectations, ownership, and source-of-truth alignment for critical Sales data objects. Confirm whether issues are related to Basic Data configuration, Master Data quality, Operational / Transactional Data generated by business execution, or downstream reporting logic. Apply corporate naming conventions, classification standards, and data entry guidelines within the Sales domain. Eliminate duplicate and obsolete customer and sales part records; monitor domain data quality metrics; and escalate recurring quality issues to the Domain Data Steward / D&A CoE for root-cause remediation. Support data audits, pricing audits, and compliance initiatives. Cross-Functional Coordination Partner with the Sales domain lead on solution changes affecting sales and pricing data structures. Work with Finance on invoicing structures, credit data, and pricing controls; with Order Entry on data issues affecting order flow. Participate in governed data change, data load, validation, and promotion checkpoints where Sales or pricing data is impacted. CTO-specific checkpoints apply when product configuration, option logic, model rules, or configurable pricing dependencies are impacted. Data Load, Validation and Promotion Support Prepare and validate approved Sales data for TST loads, mass updates, migration templates, or controlled data change requests where Sales domain access and process controls permit. Provide business validation evidence, approval records, effective dating, test results, and exception resolution before data is packaged or promoted. Coordinate with D&A for data package creation, version control, promotion controls, and post-promotion validation. Process Support and Continuous Improvement Serve as subject matter expert for sales and pricing data processes in IFS. Support IFS release testing, Sales data migration activity tied to legacy system retirement, acquisition onboarding, reporting validation, and post-load business validation. Identify automation opportunities for repetitive data maintenance and price update activity. Qualifications. Bachelor's degree in Business, Information Systems, Engineering, or related field preferred. 3 to 7+ years in ERP Master Data and Basic Data administration, Sales operations systems, pricing administration, reporting requirements coordination, or data governance; manufacturing or industrial environment preferred. Working knowledge of pricing structures (price lists, multipliers, customer agreements), Sales reporting/KPI requirements, governed Power BI concepts, and margin/audit implications. Strong attention to detail, discretion with commercially sensitive pricing data, evidence discipline, data validation capability, and a process-oriented continuous improvement mindset. Ability to work across Sales, Finance, D&A, IT IFS, Product Configuration / CTO-CPQ, and Technology Services with clear written and verbal communication. Foundational understanding of data stewardship, data quality, source-of-truth discipline, reporting intake, KPI definition, UAT, and governed self-service analytics is recommended for the Sales Business Data Specialist role.
