About the role
The Office of the Registrar is an academic service center of the University of Denver. The department assists students and faculty with registration and advising by providing resources to review academic progress, create class schedules, and successfully register for classes. Specialized services include, but are not limited to, registering for classes, transcript distribution, degree evaluation and certification, enrollment and degree verification, classroom scheduling, and withdrawal processing. We provide pertinent information regarding academic policy, federal regulations, and procedures related to the procurement, maintenance, and release of educational records of our current and former students.
Position Summary
Develops, implements and maintains all aspects of the Universitys computerized degree audit system. Manages the curriculum planning process, rules, validation tables, logic and program coding for all academic programs in Student Information Systems. Develops methods to track students requirements. Analyzes and understands requirements of academic programs; translates, encodes, and maintains degree requirements for all units using Ellucian Degree Works degree audit software. Creates ad hoc reports for users and departments which help evaluate degree candidates. Definition and maintenance of the database structure and content for all of the academic requirements. Develops and utilizes test plans and routines to validate encoded requirements. Approves and manages all academic programs in Curriculum Management software. Prepares documentation, training materials, and trains University staff who will maintain exceptions and use Degree Works and Courseleaf Curriculum Management Software. Provides technical assistance to users of any academic program software administered by the registrars office, coding of exceptions, problem resolution, and systems procedures. Maintains tables and files associated with Degree Works. Researches and assists academic units in creating, revising, and enhancing accurate coding of program requirements by assisting with Program review in the Bulletin. Assists in implementation and testing of enhancements or changes to the software. Manages various database tables in Banner Student. Schedules and executes computer jobs related to the production of Degree Works Reports. Position develops spring and summer commencement programs. Responsible for building and maintaining rules for graduation application.
Essential Functions
- In addition to following the University of Denver’s policies and procedures, principal responsibilities include, but are not limited to:
- Defines and maintains database structure for the academic requirements and academic programs of the University by mapping and encoding program requirements, rules, validation tables, logic and program encoding for all academic programs in Degree Works.
- Manages Catalog Information Management Systems on a rolling basis and maintains curriculum rules. Provides information regarding systems policy and guidelines to users, deadlines, troubleshoot departmental curriculum-system errors, manage workflows, test to express requirements in such a way to automate tracking and enhance usability. Participates in faculty meetings and other curriculum development activities as necessary.
- Evaluate student data, academic requirements and draft test cases for Degree Works to resolve complex issues. Analyze and document user needs, policies, processes, procedures and operational methods to address curricular needs.
- Builds queries and exports data requests for graduation candidates, provides quarterly candidate reports to degree evaluators, and manages graduation student data. Creates and maintains online graduation application webpages in Banner Student Systems.
- Manages attributes of large student populations and designs dynamic curriculum to alter requirements based on those attributes.
- Encodes complex pre-requisites using CAPP areas in catalog systems. Enters degree exceptions and makes changes to correct specific Degree Works audits.
- Trains faculty, departmental and advising staff in use of Curriculum, Degree Works, Catalog information management systems and graduate student tracking. Writes documentation of Curriculum, Degree Works, Catalog Information Management systems and training materials for students, faculty and staff users. Assists with planning, encoding and implementing changes in Student Information Systems.
- Administers validation of foreign institutions, degrees as well as curriculum specific database tables that can be used to create dynamic curriculum requirements based on.
Knowledge, Skills, and Abilities
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of faculty, students and administrators.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole number, common fractions and decimals. Ability to compute rates, ratios, and percentages.
- Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Command of logic skills related to developing computerized rules, specifically top-down processing, specific vs. generic rules.
- Ability to understand academic requirements and translate such requirements to automated system.
Required Qualifications
- Bachelor’s degree from an accredited institution of higher education.
- Two years of related higher education experience
- Experience with degree audit applications and student information systems; understanding of database driven applications.
- Ability to apply rule sets to complex information, using logic, analytical techniques and deductive reasoning.
- Demonstrated ability to prioritize own work and multi-task.
- Ability to routinely and independently exercise sound judgment in making decisions.
- Proficiency in Microsoft Office.
Preferred Qualifications
- Two years related registrars office experience.
- Experience in Banner Student Information Systems, Courseleaf, and Degree Works
- Implementation and maintenance of automated degree systems.
- Knowledge of SQL, HTML, CSS and XML
- Knowledge of, or experience with: Requirements collection and documentation, Business rules analysis, Modeling processes (use cases, activity diagrams, flowcharts, swim-lane process diagrams, etc.).
- Demonstrated ability to design tests
- Experience with relational database management systems.
Working Environment
- Standard office environment.
- Unexpected interruptions often occur, and stress level is moderate to high.
- Noise level is quiet to moderate.
Physical Activities
- Ability to sit in front of a computer for an extended period.
- Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
Work Schedule Monday - Friday, 8:00 a.m. - 4:30 p.m. In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.
