Harvest Operations is currently recruiting a Records Analyst, reporting to the VP, Strategy and A&D. The Records Analyst is responsible for the day-to-day set up, maintenance and integrity of all Harvest files (both hard copy and electronic) including A&D, Land, JV, Area, Pipeline, Facility, Well and other Files. The Records Analyst will be responsible for providing all files (both hard copy and electronic) that relate to A&D transactions and ensuring the appropriate transition of the files and records to a purchaser as required. Retrieve historical A&D records from offsite and scan into SharePoint and other systems for records retention. Review and analyze hard copy files from offsite storage and scan required files into SharePoint and arrange for disposal of hard copy after scanning according to corporate policy. Maintain physical file rooms and locate missing or lost files as required. Locate all files and records related to an A&D transaction, both physical and electronic, for due diligence purposes. After closing, coordinate the transfer of the files and electronic records to purchaser. Assist with preparation of both electronic and hard copy conveyance documents, preparing emails and/or envelopes where required. Organize sending out of conveyance documents by email and mail/courier, as needed. Assist in the updates in CS relating to A&D transactions and offsite record recovery and scanning. Additional project tasks in support of A&D activities or file clean up assistance for other groups. Assist in the preparation and updating of Harvest internal processes for records management and setting up electronic files, including naming conventions and folder structure. Other tasks or projects as may be assigned from time to time. What are we looking for Our ideal candidate will have the following minimum qualifications: High School Diploma with preference to post-secondary administrative training. Must possess basic knowledge of the oil and gas industry. Knowledge of land practices and/or operations, an asset. Must have 2 or more years in a records management role, both physical and scanning/electronic. Must be physically capable of moving files, packing into boxes and organizing transactions, as well as standing for extended periods of time while scanning records. Basic knowledge of computer systems maintained by oil and gas industry for management and maintenance of records. Experience with CS or other land systems is an asset. Ability to handle multiple tasks and efficiently prioritize work to meet deadlines. Able to work independently and contribute within a team environment. Our candidate will also have: Effective problem solving and analytical skills with meticulous attention to detail and strong organizational skills Proficiency with Microsoft Office products, including outlook, word, excel, access, power point, SharePoint. Preference to ability to work with other applications such as CS, Accumap, AbaData, online regulatory applications. High degree of integrity and ability to handle sensitive information on a confidential basis. Strong written communication skills and ability to work with third parties to locate missing records.
