Website Administrator & Nova Configuration Specialist

The Ontario Arts Council (OAC) requires a technically adept individual with strong judgment, initiative, and independent thought and analysis, to be responsible for ensuring OAC's website and intranet are working optimally and meeting ongoing business requirements; in addition, this position will also be relied upon to do system configuration and set up for OAC's online grant application system (Nova), as well as provide help desk support.

 

Key Responsibilities:

 

OAC Website Administration

  • Provide advice and support on the application of web page rules and methodology to ensure the ongoing content management and maintenance of the website and intranet.
  • Plan, co-ordinate and implement the ongoing enhancement, maintenance and support of OAC's website and intranet including: determining the need for new or modified technology solutions through consultation with management on new or enhanced business requirements; providing clear and concise executable designs for team review and acceptance; developing and maintaining content and web-based applications.
  • Manage the governance process for website and intranet maintenance to ensure information remains timely and accurate; design, implement, document and manage a protocol for updating website and intranet content; input changes; archive information when obsolete; provide routine troubleshooting of website and intranet.
  • Independently identify technical problems and implement appropriate corrective actions.  
  • Coordinate content management of the OAC's website and intranet, including: managing the collection of website content; reviewing website content and making recommendations for clarity and presentation; determining appropriate placement of information on the sites; creating and managing forms; liaising with web development and intranet vendors; preparing systems documentation and procedures documentation for use by OAC staff; ensuring that website content meets government, ministry and agency standards; collecting and providing details and timely statistics regarding number of visitors and number of page 'hits' to website; recommending changes to structure and design of website and intranet.

  • Provide technical and creative expertise and advice regarding methods, resources and training requirements used to maintain and utilize web technology, intranet and internet tools, and enhancement of accessibility for users with disabilities, and providing expertise on design and 'look' and feel of website, intranet and other information systems materials all in keeping with accessibility requirements.

  • Create, review and proofread new and existing information content to ensure consistent, correct, timely and user friendly information for webpages.

  • Provide support to OAC website content contributors to ensure content is posted accurately and simultaneously in both French and English, and is compliant with compliant, including posting the content if needed.

 

Nova Systems Support

  • Provide advanced level analysis of requirements

  • Provide support and recommendations to management regarding future enhancements of Nova

  • Provide configuration changes and program set-up and identify impact to existing system configuration

  • Troubleshoot and resolve issues

  • Provide validation and quality assurance testing of all changes and new releases of the system

  • Provide support, guidance and training to OAC staff as required on the system

  • Coordinate and provide advice on format and preparation of information content and layout for the Nova interface pages
  • Create and maintain security elements - including user roles, staff accounts and applicant setup

  • Responsible for setup of new employees
  • Assist in the creation of policies, guidelines and training materials
  • Provide Nova technical support, as required, to troubleshoot issues with applicants and assessors and assist in problem resolution

 

Key Qualifications:

 

  • College diploma in Information Systems or equivalent in experience and/or training

  • Moderate work experience supporting and configuring SaaS systems

  • Moderate work experience in a web administration role

  • Moderate experience providing technical support to end-users

  • Advanced knowledge of technical capabilities and operations of the internet, including advances, opportunities and technical requirements in order to develop and support website and make creative and technical changes to the website

  • In-depth experience using and administering web content management systems, with experience with Kentico an asset

  • Skilled with web programming languages such as HTML, CSS, Javascript and other common web languages

  • Knowledge of photo editing software, specifically Adobe Creative Suite

  • Ability to learn new and emerging technology easily

  • Knowledge of government policies, guidelines, directives and standards for management and development of website content and network and telecommunication services to ensure compliance in all technical services and support

  • High level knowledge of business processes

  • Excellent analytical, critical thinking and problem solving skills

  • Strong interpersonal, communication and client services skills

  • Advanced level verbal and written English, with French bilingualism an asset

  • Excellent focus and attention to detail

  • Strong organizational and time management skills and ability to multi-task

  • Ability to work effectively under various pressures and demands

  • Knowledge and experience of public funding of the arts and various art forms is an asset

  • Specific knowledge and understanding of grants management processes and activities is preferred

  • Ability to work occasional overtime
